A rent roll can look orderly while hiding a change that was entered late, copied into the wrong unit, or separated from its approval. A focused change review compares today’s export with the last accepted version and follows only the differences.
Quick Overview
Keep the prior accepted export read-only. Produce a current export from the same system and scope, then compare unit identifier, resident status, recurring charge, concession, balance, lease dates, and effective date. Assign every difference to confirmed, expected but incomplete, or unexplained.
This is an administrative control, not a substitute for legal, accounting, safety, engineering, or other qualified professional judgment. Apply the portfolio's approved policy and the requirements governing the specific property.
Build the evidence chain
For each changed field, point to the controlling lease page, signed amendment, approved charge schedule, posted transaction, or authorized correction. A message requesting a change is not proof that the system should already reflect it. Record who approved the interpretation when source documents conflict.
Keep the source reference, observation, interpretation, decision, and verification as separate fields. That separation lets another reviewer see where a fact ends and judgment begins.
Assign and verify the next action
Give unexplained items an owner and a same-day question. Separate data correction from collection activity; an unexpected balance may be a posting or timing issue rather than a resident failure. After correction, export the affected row again and compare it with the source.
A useful status says whether the item is verified, waiting for named evidence, pending an authorized decision, or blocked by a specific dependency. “Handled” is too vague for a handoff.
Common Mistakes
Changing the prior export, comparing reports with different filters, and clearing differences without post-change evidence all weaken the control. Do not place bank details or unnecessary resident identifiers in the working log.
