Rental Maintenance Estimate Comparison Sheet
Compare repair estimates by scope, assumptions, exclusions, timing, and approval status instead of price alone.

Two maintenance estimates are comparable only when the team understands what each vendor observed and proposed. A comparison sheet makes scope, quantities, assumptions, exclusions, schedule, warranty language, and approval state visible. It supports a decision but does not select a contractor or assess technical adequacy.
Quick Overview
Create one row per estimate and preserve the original document. Capture the site visit date, stated problem, proposed work, materials, labor, permits or fees, exclusions, estimated start, duration, total, expiration, and questions awaiting response.
Then add a comparability note. If one estimate replaces a component and another repairs it, their totals should not be ranked as though they buy the same outcome.
Normalize without rewriting the bids
Use common categories for review while keeping vendor wording available. Mark a field “not stated” when the estimate is silent. Never fill a blank with an assumption simply to complete the table.
Separate arithmetic checks from technical judgments. Administrative staff can verify whether line items add to the stated total and whether dates are visible. A qualified professional or authorized owner must evaluate the appropriate remedy when the question exceeds administrative scope.
Prepare the decision packet
Summarize the decision needed, deadline, property impact, comparable portions, material differences, open questions, and source links. Include prior authorization and budget context only when current and relevant. Record the final selection and rationale as an authorized decision, not as an edit to the vendor's estimate.
Use the vendor scope change log after approval and the owner approval queue when authority is pending. See the FTC's general business guidance for clear commercial practices.
Common Mistakes
Do not sort by price before checking scope, merge estimates into a document that obscures provenance, or describe an unverified estimate as a fixed promise. Avoid forwarding resident details that vendors do not need.
Common Questions Answered
What if only one estimate is available?
State that limitation plainly and follow the applicable procurement and emergency rules. Do not invent a comparison.
Should change orders stay on the same sheet?
Link them as later records with their own date, scope, and approval. Preserve the original basis for comparison.
Ready to compare estimates
Take one open repair, align the estimates by actual scope, and route a short list of unresolved differences to the right reviewer.
